Virtual Admin Job Brief – Canadians Only

We are looking for a responsible Virtual Administrative Assistant to perform a variety of administrative and clerical tasks for our clients. The Duties of the Administrative Assistant include but are not limited to providing support to our clients and their employees, assisting in daily office needs and managing the client’s business admin activities.

What does an Administrative Assistant do?

Administrative Assistant responsibilities include making travel and meeting arrangements, checking email correspondence, responding to clients, , data entry, research, social media posting, preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel, Google Workspeace and other online CRM’s and office management tools. If you also have previous experience as a Secretary, office admin, Executive Administrative Assistant and/or any other job experience that relates to virtual administration we would love to speak with you.

Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of their clients.

Some responsibilities include but are not limited to:

  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain an online filing system
  • Update and maintain office policies and procedures
  • Maintain contact lists
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Basic Bookkeeping
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Handling administrative requests and queries from clients
  • Organizing and scheduling appointments with admin software
  • Planning meetings and taking detailed minutes
  • Organize managers’ calendars
  • Manage a contact list
  • Prepare customer spreadsheets and keep online records
  • Perform market research
  • Create presentations, as assigned


Requirements and skills

  • Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
  • Knowledge of office management systems and procedures
  • Proficiency in working with online systems like MS Office, Google Workspace, Slack, Asana, Teams, etc.
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School degree and College/University
  • Qualifications as an Administrative assistant or Secretary will be a plus
